Contacts: the address book your assistant fills in

Updated in September 2026

The Tinos contact book keeps track of your customers. Your assistant fills it in after every call or conversation, and you can add contacts yourself or import them. It is shared by all your assistants.

Three ways to create a contact

The first is manual: the + button, then Create a contact, opens a record with first name, last name, several numbers and several e-mail addresses, each with its own label, a company, an owner and notes.

The second is import, from the same + button: you drop the file you already have, your phone’s export (.vcf), an Excel file (.xlsx) or a CSV. Tinos finds every phone number in it, whatever the column, and the name that goes with it. A row without a valid number is skipped, and the rest of the file (addresses, notes) never leaves your device.

The third is automatic: your assistant creates records as calls come in. Those contacts carry the Captured by your assistant badge, so you know where they come from.

Importing breaks nothing

This is the point that reassures most people before importing: a contact already in your book, recognised by number, is never duplicated nor overwritten. Their record is completed.

Before importing, a screen shows you the contacts found and how many rows were skipped. Afterwards, a message tells you how many contacts were added and how many were already in your book.

What your assistant does with the book

Your assistant writes to the contact book; it does not read it during the exchange. After every call or conversation, it creates a new caller’s contact or completes theirs: name and date of the last exchange.

It never says a name taken from the contact book. To check or cancel an appointment, the caller gives their name: a phone number can be spoofed, and the name is a second check.

A contact’s notes are internal: visible to your team, never read by your assistant. The contact book settings apply to all your assistants and live in this page’s Settings, where Recognize your customers is coming soon.

Adding new callers

The page’s Settings, behind the gear icon, hold the Add new callers to your contacts switch.

When on, anyone who spoke with your assistant from a visible number gets a contact, even without a name, except a telemarketer or a caller who refused the recording. When off, your assistant no longer creates contacts but still completes existing ones.

Search, select, export

Search covers the name, number, e-mail and company, and export produces a file of your address book.

The number of contacts depends on your plan: 1,000 on Solo, 10,000 on Team, unlimited on Scale. At the cap, a message says so in the record rather than failing a save with no explanation.

Deleting asks for confirmation and cannot be undone. To delete several contacts at once, tick them: the box appears when you hover over a contact. If adding new callers is on, a new contact will be created the next time this number calls. Conversations already saved stay as they are.

Blocked numbers

A number that cold-calls you is blocked from its conversation menu, with Block this number. Its next calls are refused before your assistant even picks up, and are not billed to you.

The full list opens with the Blocked numbers icon, at the bottom of your contact list: you can block a number by hand there, or unblock it. Unblock this number is also in the conversation menu. A call from a withheld number is never refused, since there is no number to recognize.
